Healthcare AI: From Discovery to Adoption Across 15+ Enterprise Implementations

Led 15+ enterprise deployments of an AI-powered conversation intelligence platform for Fortune 500 healthcare organizations and Top 10 global pharmaceutical companies. Managed delivery across use-case discovery, analytical requirements, data ingestion, configuration, AI-output validation, and user enablement against contracted 45-day timelines. Partnered with Product and Engineering on evaluation feedback and with Client Success to track adoption and confirm initial time to value before handoff.

The Challenge

Healthcare and pharmaceutical organizations wanted to use AI to turn customer conversations into actionable insights. Their objectives included evaluating call-center quality, assessing adherence to protocols, understanding patient sentiment, identifying barriers to treatment, and supporting review of potential adverse events.

Authenticx’s AI-powered conversation intelligence platform analyzed recorded interactions and presented findings through dashboards and reports. Delivering value required aligning the platform’s capabilities with each client’s business objectives, establishing reliable data flows, validating the resulting outputs, and preparing users to work with the insights.

One pharmaceutical client supported a time-sensitive treatment for a rare condition available at only a handful of treatment centers nationwide. Its service included coordinating treatment access and travel logistics for patients and their families. The client wanted to analyze conversations across that process to identify opportunities to streamline coordination.

Data readiness was a recurring implementation challenge. Recordings and metadata often passed through several organizations before reaching our platform. A client might own the data, a third party might operate the telephony service, and another vendor might manage the integration. Each party brought different responsibilities, technical capabilities, and security requirements.

Incoming files could contain missing metadata, inconsistent values, or incorrectly scoped records. Validation also needed to distinguish source-data problems from interpretation discrepancies and AI-generated inaccuracies.

These dependencies had to be managed within contracted 45-day implementation timelines while the company was scaling from a small startup into a midsize organization.

My Role

As Onboarding Project Manager, I led more than 15 enterprise implementations of an AI-powered conversation intelligence platform for healthcare and pharmaceutical clients, including Fortune 500 organizations and Top 10 global pharmaceutical companies.

I coordinated delivery from post-sales discovery through configuration, data integration, validation, training, go-live, and handoff. My responsibilities included defining implementation scope, documenting analytical requirements, managing dependencies, and aligning clients, third-party providers, Product, Engineering, and implementation teams.

How I Approached It

Translated business objectives into AI implementation scope.

During discovery, I worked with stakeholders to establish which capabilities were relevant to the client, including sentiment analysis, quality evaluation, patient-friction identification, safety-event detection, and summaries.

These decisions shaped project scope, platform configuration, analytical requirements, and user training. Revisiting them during implementation helped maintain alignment between the client’s expectations and the capabilities being delivered.

Defined the data and context needed for useful analysis.

I facilitated client-specific data dictionaries covering required file types and metadata. Analytical specifications included fields such as agent, program, product, call type, and date, allowing results to be organized and interpreted in the appropriate business context.

I coordinated technical resources across data owners, telephony providers, integration vendors, and internal teams to establish the required integrations and file transfers.

Addressed security requirements before kickoff.

Following contract signature, I worked with Sales, clients, and third-party stakeholders to identify data-security requirements and coordinate necessary approvals. Beginning this work before formal kickoff helped reduce delays within the contracted implementation window.

Coordinated validation of incoming data and initial AI outputs.

Before launch, clients reviewed initial processed conversations and reports as part of comprehensive validation. I coordinated the resources needed to investigate discrepancies and distinguish data-integrity problems from interpretation issues.

I supported Product and Engineering’s AI evaluation efforts by coordinating client feedback, surfacing discrepancies identified during implementation validation, and providing context on expected outputs and business requirements. Each individual project also had dedicated human-analysis resources supporting ongoing validation and quality assurance.

Built implementation structure for a scaling organization.

I mapped the implementation process from start to finish, documenting responsibilities and escalation paths across participating teams. I introduced milestone readiness checks, established stakeholder communication standards, and defined post-project handoff protocols.

This created a more consistent framework for coordinating data readiness, configuration, validation, and client preparation across implementations.

Prepared clients to use AI-generated insights.

I developed user guides, job aids, and client-specific training materials built around each organization’s workflows and unique use cases. I also built test scenarios using test accounts and client data within the client’s configured platform environment, giving users hands-on practice with relevant examples. I trained end users directly and prepared client subject-matter experts through a train-the-trainer model to support continued learning and adoption.

Training focused on the configured platform, dashboards, and insights relevant to each client’s objectives. Clients’ own data teams remained responsible for deeper analysis. Following go-live, I provided support to help clients begin using the platform in their day-to-day workflows.

Measured adoption through usage and time to value.

I worked closely with Client Success to track active platform users against in-scope licenses, the reports and insights clients generated and consumed, and the time from go-live to their use of actionable insights. Handoff typically occurred after this initial value milestone had been documented, helping connect implementation completion to demonstrated client use.

Client satisfaction feedback and subsequent extensions or upsells provided additional indicators of ongoing value.

Results

Across this implementation work, coordinated data integration and validation efforts contributed to a 97% reduction in data sync errors. Client-specific training, post-go-live support, and coordinated handoffs supported a 99.7% adoption rate, measured as active users against in-scope licenses.

Across this implementation work, average call-center efficiency improved by 36%. My contribution was coordinating the scope, data readiness, delivery, validation, and user preparation needed for clients to put the platform into use.

Beyond individual launches, the documented implementation process established a repeatable onboarding framework as the organization scaled, with clearer ownership, readiness checks, communication standards, and handoff expectations.

What I Learned

Enterprise AI implementation requires agreement on what clients expect the technology to identify, what data and context it needs, and how its outputs will be validated before operational use.

The experience reinforced the importance of distinguishing data-quality issues, interpretation discrepancies, and model-related problems so the right resources could address each one. It also showed me the value of combining technical delivery with human review, explicit readiness checks, and training grounded in the client’s business objectives.
